This page walks you through duplicating my two core Notion systems: the Master Dashboard (the command centre that tracks everything across all your projects) and the Project Dashboard Template (a standalone dashboard you spin up per exhibition, event, or project). Use them together, or just take the one that solves your problem.

👋 Hello :)

I'm Jess. I build community infrastructure and ops systems for arts and events organisations, including my own initiative, Platform Presents, a grassroots new media arts program across Naarm/Melbourne and Eora/Sydney. This system is what actually runs Platform behind the scenes, alongside my work with The Sound Gallery and as a freelance creative across set design, photography and production.

If this was useful, or you want help setting one up for your own org, I'd love to hear from you:

Want more of this? I'm planning more talks, more behind-the-scenes on how I actually run an arts org (budgets, systems, the messy parts), more Notion/ops hacks, and general art-brain thoughts. If any of that sounds useful, drop your details below and I'll let you know when something new is out.

How the system fits together

The Master Dashboard holds three databases: a Task List, a Key Dates calendar, and a Project Timeline. Every project I run pulls from these same three databases, tagged by project name, so I only ever update a task in one place and it shows up everywhere relevant.

The Project Dashboard Template is what I duplicate for each new exhibition or event. It gives me a filtered view into the Master databases (so cross-project chaos doesn't leak into a single show's dashboard) plus space for that project's own marketing calendar, documents, and brain dump.
